BUSINESS UNIT: Office of the CFO
LOCATION: Alpharetta, GA

JOB SUMMARY

The Executive Assistant’s primary function is to support the CFO in interactions with internal and external audiences. The Executive Assistant also handles complex, detailed meeting planning, conference calls, travel arrangements, correspondence; creation, maintenance and compilation of reports/spreadsheets, and proactively assists with and manages projects, presentations, and speeches as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Communication
*Provides complex screening, fielding, prioritizing of inbound communications via telephone, mail, and e-mail to resolve critical issues in a timely manner.
*Interacts in a professional manner with senior executives internally and externally including Board members, Investors, Analysts and Customers.
*Works autonomously to manage projects and maintain communication with interested parties.

Analytics
*Produces intricate spreadsheets and graphs and PowerPoint presentations.
*Demonstrates a proven ability to analyze data, research information, problem-solve and coordinate projects.
*Manages and updates internal database of contacts

Logistics/Administration
*Fully manages all aspects of the CFO’s calendar.
*Manage and track emails, to-do tasks and other administrative matters.
*Coordinates detailed travel arrangements, as well as meeting and event planning.
*Schedules multifaceted conference calls and video conferences.
*Participates in team meetings/events, and other activities that improve operations and morale
*Possesses a thorough knowledge regarding the administrative role and provides support, mentoring and guidance to colleagues
*Coordinates a variety of activities, meetings and events for department, as needed (off-site meetings, staff meetings, trainings, interviews departmental events, etc.)
*Prepares purchase requisitions, follow up on invoice payments and contract renewals
*Provides back up support for the Executive Assistant to CEO
*Continually looks for ways to improve efficiency of CFO department
*Answers CFO and back up CEO telephones. Routes calls to appropriate individual or takes messages.
*Enters and reviews Time and Expense submissions; and reconciles American Express bill.
*All other duties as assigned.

PREFERRED QUALIFICATIONS

*Bachelor’s degree preferred; Advanced degree a plus
*Advanced problem solving, organizational and analytical skills
*Accomplished in the ability to multi-task in a fast paced environment; enjoys challenges.
*Exercises sound objective business judgment.
*Maintains an advanced degree of confidentiality and sense of urgency.
*Seasoned Team player
*Ability to Influence and persuade various internal and external constituents to drive projects to completion
*Ability to initiate and maintain open communication and dialog with CFO
*Enthusiastic and energetic with a commitment to quality in all work.
*Highly organized, with good time management and prioritization skills.
*Acute attention to detail.
*Exceptional interpersonal communication skills
*Gracious, respectful, helpful and professional.
*Ability to perform role with minimal supervision
*Demonstrated poise, tact and diplomacy and ability to operate in a virtual environment

MINIMUM QUALIFICATIONS

*Five or more years of experience as a C-level executive assistant role in a fast-paced, demanding small company environment
*Proficient in Microsoft Word, Outlook, PowerPoint and Excel.
